For sales and operations leaders
Our CRM is holding the team back, and we cannot afford a failed migration.
Replace an aging or over-customised system in controlled stages, with your data mapped, tested and verified before anyone is moved.
- Data mapped and test-imported firstYou review sample results before full migration.
- Old system stays until you decideNothing is switched off on our schedule.
- Roles and permissions rebuilt on purposeAccess is designed again, not copied blindly.
Why the old CRM has become a liability
Years of customisation
Fields, scripts and workarounds nobody fully understands make every change risky.
Duplicate and stale records
Contacts and companies exist several times, with no clear source of truth.
Users avoid it
Salespeople keep their own spreadsheets because entering data in the system costs too much time.
Reports nobody trusts
Managers cannot rely on pipeline figures, so decisions fall back on opinion.
Locked in by the vendor
Data export is limited and licences scale faster than the value you receive.
How we replace a CRM safely
Audit what is really used
We analyse fields, workflows, integrations and reports to see what the business depends on, and what can be dropped.
Design the target model
Pipelines, roles and records are redesigned around today's sales process.
Clean and map the data
Duplicates are resolved, fields mapped, and sample imports reviewed by your team.
Run in parallel
A pilot group works in the new system while the old one remains available for reference.
Cut over and retire
The full team moves, integrations are switched, and the old system is archived once you agree.
Replace, extend or integrate
| Extend what you have | Replace with custom CRM | |
|---|---|---|
| When it fits | The tool is sound but under-configured | The model and process no longer match the tool |
| Disruption | Lower | Higher, managed in stages |
| Ongoing licence cost | Continues | Replaced by hosting and maintenance |
| Flexibility | Within vendor limits | Built around your process |

Questions about replacing a CRM
Will we lose history?
We migrate contacts, companies, deals, notes and activity as far as the source system lets us export them. We list anything that cannot be carried over before the migration, so there are no surprises.
Should we replace or extend?
We do not assume replacement is right. After the audit we compare extending, integrating and rebuilding, with costs and risks, and recommend one.
How do we keep selling during the switch?
The pilot group works in the new system first while the old one remains available. Cutover is planned for a quiet period and has a rollback option.
What about our integrations?
They are inventoried during the audit. Each one is rebuilt, replaced or retired, and tested before it goes live.
